Timing For Steering Committee Web Conferences

My objective is to have a short but efficient and effective steering committee web conference once a month, unless the steering committee members decide that some other schedule would be more effective.  The purpose of the web conference is to help keep us focused on our highest priority issues to contribute to PTSC- Online's effectiveness, growth and sustainability. During the last steering committee meeting it was suggested that Monday is not the best day to hold the web conference.

  • Please reply to this discussion forum to advise the day and time it would be most convenient for you to participate in the web conference. 
We have state of the art communication and collaboration tools (blogs, discussion foruns, wikis) available to us to conduct steering committee business, but unfortunately I was not able to motivate most of our previous steering committee members to use them. 
 

  • Should we try to use these tools to be more efficient and effective as a steering committee? 
     
  • Do you have any specific suggestions we should consider?

Anytime that's within normal working hours might be problematic for me as workload issues and briefings that are scheduled at the last minute could interfere with my plans to participate. 


My schedule is pretty flexible as far as scheduling goes as long as I know in advance. That said, like Patrice, my pager doesn't always cooperate with my meeting schedules and I could have to send my regrets on short notice. I also have evening meetings and training periodically throughout the month so for me I would have to say I am willing to go with the general consensus of the committee and with intentions of being at all meetings, but I must submit a claus that I may have to send short notice regrets from time to time.

I think the wiki is a great tool for the steering committee and that once we start using it all the time it will become natural to work within its framework. If there is an option to notify us everytime that there is a post within the wiki specifically for the steering committee I believe that will prompt us to go in and check the post and respond.

Once the steering committee determines the direction of the types of activities we will be doing continuing to use the sections that have been assigned to the topic will be useful for all.


My schedule is a bit hectic and so can not commit to any specific day but will try and participate whenever possible.

yes we should try and take advantage of the web tools and other resources available whenever possible.

Day meetings are generally best for me.  Having said that, Fridays are the least likely day that I will have conflicts.

Using the wiki is so useful.  One-stop shopping, as it were.

My agenda is full and unpredictable from Monday to Friday. However, I will ensure that I have time to participate in our Steering Committee meetings. I have greater liberty on Fridays.

I concluded from this discussion that many steering committee members may not be able to participate in a web conference, in spite of picking the best day, due to the nature of their jobs. Since preference for Friday was expressed by a couple of members I will schedule future web conferences on Friday until advised otherwise.  

The concensus also seemed to favour using our PTSC-Online technology wherever possible to help us more effectively conduct our business.
